We are seeking a qualified Administrative Assistant to be based in our Shaughnessy Office in Vancouver, BC. Reporting to the Administration Supervisor, this position will be responsible for providing front desk reception and administrative support as the primary point of contact for the Office. Operating switchboard, maintaining office functionality, and providing administrative support to various departments will be essential to this position. What you’ll get to do:

  • Answers the phone in a courteous manner, answering or referring inquiries, and directing to appropriate departments or to direct lines

  • Greet and direct visitors to contacts and/or service areas

  • Arrange courier service for outgoing and incoming delivery, sort and deliver mail, and direct inter-office mail

  • Order office supplies for office and other facilities

  • Code and reconcile monthly expenses

  • Provide accounts payable/receivable support and other administrative duties to various departments

  • Send requested copies of CODs, invoices, and documentation to customers

  • Maintain employee and department directories of office and surrounding facilities

  • Maintain a continual knowledge of company policies, rules, regulations, procedures and review and redirect office maintenance requests to the appropriate repair/contact person

  • Daily organization and tidiness of reception and administrative areas

  • Exercise sound judgment, integrity and professionalism in all aspects including working with confidential and sensitive information

  • Provide administrative support to the Office Manager and Administration Supervisor as required

Essential Experience and Skills

  • Completion of secondary school is required. Experience with reception and administration is an asset.

  • Ability to prioritize assignments, work on a variety of tasks simultaneously, and meet deadlines in a fast-paced environment

  • High level of independence and self-initiative in managing day-to-day administration

  • Excellent communication, organizational and interpersonal skills

  • Attention to detail and the ability to maintain accuracy while maintaining a fast steady work pace is essential

  • Proficiency with Microsoft Office Suite, including Word, Excel, and Outlook
